Child care is provided before and after school hours at each elementary school within SoWashCo Schools during the school year.
Full day care at combined locations during the summer and non-school days.
Registration is based on space availability.

Registration Fee
$69 per child
non-refundable/non-transferable registration fee, including those collected for contracts withdrawn before the start of the season.
Discounts
- Sibling: 5% discount for each sibling after the first child. Discounts are given to the child contracted the fewest number of program components (days/times).
- Educational Benefit: 25% discount for children who qualify (must submit a copy of your qualification letter to Community Education).

Financial Assistance
Child Care Assistance Program (CCAP) funds for tuition for our Kids Club program may be available through your County of residence. In Washington County, please contact the 'Community Services Financial Intake and Information' at 651-430-6459 to start the application process. Your call will be returned to determine eligibility for long-term, monthly assistance with your child care payments.
Additional Charges
Occasionally you may find additional charges on your bill for items or fees incurred by missing a payment, late pick-up of a child, etc. Below is a list of many of these types of fees you might see on your bill and an explanation of how they are assessed.
Contract Change
$25 fee, $5 additional fee per sibling applies to each change made to a contract (increase and/or decrease to scheduling). Applies August 1-end of season.*
Late Payment
A fee of $25 per month for late payment of tuition fees will be charged unless a prearranged payment schedule is on file with Community Education.
Returned checks
Checks returned unpaid will be recovered electronically by Paytec along with a state allowed recovery fee. Questions can be directed to Paytec Customer Service at 866-399-4101.
Late pick-up
A fee of $15 per each 15 minutes, or portion thereof, past 6:00 pm is charged for late pick ups (time of pick-up is based on sign-out on program iPad). Termination of your Kids Club contract may result if there are five late pick up fees recorded on your account.
Examples:
6:00-6:14 p.m. = $15
6:15-6:29 p.m. = $30
6:30-6:44 p.m. = $45
Finder's fee
A fee of $10 will be charged when a staff person needs to locate a child who does not arrive to the program as scheduled. The fee will increase by $10 each time we need to locate your child. This fee is per child, not per family. Termination of your Kids Club contract may result if there are five Finder's Fees recorded on your account.
Tuition Credits
Credit is not issued for illness, vacation (excludes summer for those who have submitted a vacation voucher), time missed due to participation in other programs or activities, or emergency school closings. If you are asked to leave the program for any reason, you are responsible for the balance of your account.
Report your Absence
All absences for any illness, vacation or other purpose for missed time in Kids Club must be reported to your Kids Club staff.

Your Kids Club staff will send a monthly email with information to prepare you for the next month's programming, to highlight programming and to provide contact information and links to helpful resources.

Lesson Plan
A weekly plan outlining activities planned in: Art and crafts, social/emotional based learning, reading and language, health and safety, science-based activities, service learning, life skills and cooking, 30-60 minutes of movement daily, dramatic play, quiet time free play: board games, dramatic play, manipulatives.
General Practices
- Students will participate in outdoor play daily as weather allows. Ensure that your child has clothing appropriate for this activity.
- Bring a water bottle.
- Families will be assigned an access code for entry into their assigned non-school day location. This access code will differ from the one assigned for your regular Kids Club location.
- Kids Club practices, procedures and requirements will be followed for health, safety and consistency.
- Participants need to be signed in upon arrival and signed out upon departure on the program iPad.
- Authorized pick-up individuals need to be prepared to show photo ID.
Registration Sessions - School Year 2025-2026
Registration for the next school year is held in April.
Two sessions are made available - the first session is available to current Kids Club participants at the conclusion of this session, a second session is made available to new participants.
Requests for scheduling are placed online via our enrollment website (see the Request Your Schedule section of this site).
Current Participant Session - held April 1, 9:00 a.m. - April 15, 11:59 p.m.
"Current" participants are students who have a contract in place during the current school year at the time or the registration session. Students new to Kids Club, that are the sibling of a current participant are also considered a current participant.
All participants that wish to continue in the program during the next school year must place a request to reclaim their schedule and be re-enrolled into the new school year season.
Requests for current participants reclaiming their same schedule can be placed at any time during the enrollment session. Requests to reclaim the same schedule held during this current school year, that are submitted during the registration session, will be guaranteed placement. Be sure to reclaim your schedule before the session closes to claim your guaranteed placement. Requests received after the session concludes will not receive a guarantee; requests will be reviewed in the order received and secured as space availability remains.
Participants wishing to increase their schedule will request the schedule that they currently have in place and any additional scheduling that they would like to have in place. The portion of the schedule currently in place (current school year) will be approved for placement with a guarantee. The added portion of the schedule is not guaranteed; this portion is a request.
Additional schedule requests will be reviewed in the order received and approved for enrollment as space remains available. This review will take place after all current participants have reclaimed their schedules. Expect your additional request to be addressed after the current family enrollment session has concluded - expect a response within one business week at the conclusion of the enrollment session.
Any schedule requests that need to be placed on a waiting list will be placed on the list in the order received.
If you are requesting added scheduling you will want to get your request in as soon as possible upon the session becoming available. Requests are date/time stamped upon submission and are review in the order received.
A non-refundable/non-transferable registration fee (per child) is assessed upon Kids Club administration approving your request and securing your schedule.
New Participant Session - held April 22, 9:00 a.m. - ongoing with enrollments placed upon space availability
"New" participants are those that do not have enrollment in place during the current school year at the time that the enrollment sessions for the season is held.
Enrollment requests are reviewed in the order received and placed for enrollment as space availability remains.
When space is not available your requested schedule will be placed onto a waiting list in the order received.
Enrollment will be addressed the day of receipt up to two business days later.
A non-refundable/non-transferable registration fee (per child) is assessed upon Kids Club administration approving your request and securing your schedule.

You will receive a response to your request within seven business days.
Enrollment requests are reviewed in the order received and placed for enrollment as space availability allows.
At the beginning of the season all enrollments begin upon the first day of programming.
Mid-season enrollment should be requested within two weeks of desired start date.
Upon approval of enrollment a non-refundable/non-transferable registration fee will be assessed to secure and setup your enrollment.

Summer programming begins five business days after the last day of the school year and ends five business days before the start of the next school year.
Summer 2024: June 13 - August 23
Closed for the Junteenth (6/19), July 4 and July 5. A non-summer full day session will be held on July 5 for those who have pre-registered.

Forgotten Field Trip T-Shirt (summer)
A $10 fee will be charged for each instance.
The payment of multiple fees does not result in the purchase of a new t-shirt.
Forgotten Lunch (summer, non-school days)
A $5 fee will be assessed for each meal offered to a participant in place of forgotten cold lunch or in the case of funds being unavailable to purchase hot lunch.

Vacation Credit Terms

Vacation vouchers and changes must be submitted two weeks prior to absence.

Dates you list remove your child from attendance on that day. Staff will remove your child from their planning in response to your submission.
- Reschedule your child via submission of a second voucher to reverse absences submitted previously - 2 week notice to cancel and/or add dates is required. Students will be turned away from the site, not allowed to attend, on dates that have been submitted as an absence and not cancelled. Or, if our planning allows for the attendance your child may be allowed to attend. In this case your credit will be cancelled and an additional fee of $25 will be assessed to your Kids Club account.
- Vacation credits will not be given if a child’s contract start date is after the first day of the summer program or if they are withdrawn before the last day of summer.
- Enrollment changes (reductions) will affect your eligible credit.
- Credit for vacation days will be issued in the August billing statement; not in the month in which the absence takes place (so that Kids Club can verify that the child has been enrolled for the full summer).
- Credits will be issued to accounts only in good standing.
- Vouchers received July 12 and after will be credited in September.
- Voucher available on our Forms page approximately mid May through mid-July.

- A bag lunch needs to include a beverage and utensils. Refrigeration is not available.
Hot Lunch
$5.00 per meal.
- The cost of hot lunch served at Kids Club is not subsidized; the free lunch program offered during the school year does not apply. All meals, for all students selecting hot lunch are assessed the full per meal fee.
- Students order daily.
- The purchase of hot lunch is transacted using the student's SchoolCafe meal account. Funds need to be added to this account and available for purchases.

Field Trips
Trips to local venues that are of adequate size and interest for our groups (parks, theaters, waterparks, museums, etc.).
Trips are not planned to fall on specific days of the week.
All participants scheduled on a field trip day will attend the trip. Staff to child ratio counts are reduced for off-site events resulting in no staff being available to remain at the school with students.
- All participants must be on site at the designated time for a field trip.
- Times are posted in the weekly emails and on site. If you are unsure of the arrival time, ask your Kids club staff for details.
- Anyone arriving after the posted arrival time can be denied the opportunity to attend the trip. There are many steps taken to ensure the safety of childrent on the field trip. It may appear that adding a student would be easy to do but given the number of students and the layering of precautions, adding late arrivals is challenging and unsafe.
- There are no refunds for late arrivals who miss the trip.
A link to activity calendars will be included in the weekly communication.
Each child will receive a Kids Club t-shirt at the beginning of summer (at no fee). Families will have a one-time option to purchase an additional t-shirt at the time of registration. These shirts must be worn on all field trips. Should children forget to wear their t-shirt on field trip days, a loaner shirt will be provided at a fee.
Onsite Presentations
Vendors are contracted to present a show or activity to our group. All students in attendance on the day of an event are included for participation in the event.

Locations for the 2023-24 School Year will be at Cottage Grove Elementary, Middleton Elementary and Valley Crossing Elementary.
Sites for participation are recommended based on student’s home school so that they can be with friends.

Meals
Breakfast and snack will be served to participants at no additional cost (view your group's daily schedule for service times).
Students must be onsite at the time of breakfast service to receive this meal (see daily schedule).
A cold lunch needs to be brought from home. Include all food items, beverage and utensils. Refrigeration is not available. There is no lunch available through Kids Club on Non-School Days if you fail to bring a lunch from home. You will be contacted to return to the site with a meal for your child.
Programming
- Activities will engage students in the Kids Club learning areas.
- A Daily schedule will be created for the group to follow.
- We ask that all children arrive to the site by 9 a.m. so the daily activities may begin.
- Field trips may be planned during longer sessions (winter break, spring break). No additional fees apply. All students will accompany the group.

- It is the family's responsibility to bring medication and signed forms to their child's non-school day site.

- A one-time $15 non-refundable, non-transferable registration fee, per child is due upon approval of your enrollment request into the 2023-24 cold closure session. Payment of the registration fee secures your child's attendance for all instances in which school may be closed due to extreme cold.
- A daily fee of $22 per child will be assessed to your Kids Club billing account for each day that Cold Closure Programming is held.
- The daily fee will be assessed to all participants enrolled in the Cold Closure Programming regardless of attendance.
- Please note that the regular before and after school schedule fees still apply; no refund or credits of these contracted fees are given for school closure dates (including colsing due to all other weather and environmental conditions).
- No discounts apply.
- All enrollments into Kids Club Cold Closure sessions are final. The registration fee is non-refundable, non transferable as staffing is arranged based on registration numbers. No refunds or credits will be issued if you do not attend.

Because cold closure program dates are unknown, Kids Club does not have the opportunity to have pre-planned food items on-hand.

You will be contacted to return to the site with items for your child. - If your child is administered medications during regular before and/or after school Kids Club or during a regular school day, a Medication Authorization Form needs to be on file at your Kids Club site an you will need to bring the medication with your child the day of the cold closure programming. - Participants who have pre-registered into this cold closure programming will be sent an email upon the decision to close school. This email will announce the availability of our program to remind you that we are available for your child care needs for the day.
Note: Kids Club will be closed on days when school is closed due to all other weather or environmental conditions.

Online registration will become available at 9:00 a.m. on Monday, October 16 and will conclude at 11:59 p.m. on Monday, October 30.
Confirmation of enrollment will be sent approximately November 15.
Enrollment is not guaranteed. We will attempt to staff the programming to support the number of enrollment requests received. If staffing is adequate to support all requests, we will be able to approve everyone. If staffing is not adequate, we will host a lottery to enroll the number of students for which staffing will allow to be in attendance (within a 1 staff to 15 student ratio count).
Due to the enrollment and staffing process, expect a response to your enrollment request after the start of the new year. Cold Closure programming will not be available until planning concludes and enrollments have been placed.
The $15 per child non-refundable, non-transferable registration fee will be assessed upon enrollment approval. Your student will then be placed on our roster to be expected for attendance on a cold closure day. The daily fee of $22 per child will be assessed for all days that school is cancelled due to extreme cold regardless of attendance.

Purpose
The purpose of out-of-school time programs is to develop and nurture the whole learner within one SoWashCo Schools. Out-of-School Time (OST) programs include: Athletics, Aquatics, Gymnastics, Kids Club, Youth Enrichment, Youth Development and Targeted Services.

Arrival to program
- We open at 6:30 a.m. Children and parents may not sign-in before 6:30 a.m.
- In order to accept legal responsibility all parents/guardians must sign their child in each morning via an app on the Kids Club iPad. Individuals dropping off their child must be entered in to your online customer profile in order to appear within the app for signature.
- If the group is away from home base at drop-off you are responsible for escorting them to join the group.
- Failure to sign your child in or out of the program can result in removal from the program.
Picking up your child
- Parents/guardians must sign-out their child each afternoon using the app on our program iPad.
- A person picking up can only sign-out as themselves. No one is allowed to sign-out as another person or on another person’s sign-out line. If you need to add someone to the sign-out list you can do so by accessing the child’s account online or talk to your Site Supervisor or our business office.
- Program staff are required to ask for photo identification from anyone unfamiliar attempting to pick up a child.
- Staff will not release your child to anyone who has not been listed on your child’s emergency card or authorized pick-up list with the exception of local authorities, if necessary.
Identification
Be prepared to show ID at any time.
Unauthorized pick-ups and custody
If an unauthorized person attempts to pick up your child, you will be contacted. If you cannot be reached, your child will be held until you or an alternate pick-up person arrives. This procedure is designed to protect your child. At the time of registration you are asked to list people who are unauthorized to pick up your child from the program.
This section is for people who have previously had legal custodial rights as a parent or guardian. Our program will release children to either biological parent unless we have a hard copy of a court order prohibiting a parent from having custody of the child. Kids Club will not obtain court orders for families. This is each family’s responsibility. It is our practice to work with both parents for the welfare of the child.
Transportation
Parents/Guardians are responsible to arrange transportation to and from Kids Club. Bus service is not available. SoWashCo Schools policy states that employees are prohibited from transporting children in personal vehicles. Staff with specialized training may transport in a district owned vehicle.
Communicate Absences
Both school and Kids Club must be notified of your child's absences. If your child will not be attending Kids Club during the after school hours on a scheduled day, it is the parent/guardian's responsibility to notify the Kids Club Site Supervisor prior to the absence. If notification is not received and the Supervisors must locate your child a Finder's Fee will be applied to your account regardless of whether it is the student's or family's error. When possible, an advanced (2 day) written notice of absences for before school hours is preferred. On Non-School Days and during the summer program notice is helpful for daily counts. There are no credits for absences.
Avoid Finder's Fees
Notify your Site Supervisor of absences. If staff has to spend time trying to find your child/ren, a finders fee will be assessed.
Late Pick Ups
We close at 6:00 p.m. If you will be arriving after 6:00 p.m. make plans for your emergency contact or authorized pick-up person to pick-up your child and notify staff immediately. Prepare in advance for poor road conditions due to weather. You will be charged a late pick-up fee of $15 for every 15 minutes late (or portion thereof starting at 6:00 p.m. on the Kids Club iPad). If you are more than 15 minutes late and you or an emergency contact cannot be reached the police may be called to pick up your child.

Tuition secures space
In order to assure your child's spot you are responsible for tuition starting on your child's first contracted day of the program, whether or not your child is in attendance.
Receiving statements
Paperless bills will arrive in your email on the 1st and 16th of each month. Any time there is a change to your personal information, be sure to update your account. Fees are due whether or not you receive a statement. If you are not receiving electronic statements please contact our business office and check your account email information.
Due dates & billing cycle
Meeting payment deadlines is your responsibility.- Tuition is assessed bi-weekly.
- Payment is due in full by the 15th and 30th of each month.
- A $25 late payment fee applies to all accounts with a balance remaining the day following the payment due date (exempting those with pre-arranged payment plans).
- Accounts unpaid at 30 days past due may result in removal of the enrollment contract and the account associated may be sent to our collection agency for further collection efforts.

- Auto-Debit: Automatic monthly billing to your credit/debit card (American Express, Discover, Master Card, Visa) or checking account can be put in place in your customer profile. Tuition will automatically be charged to the financial information on file upon the payment due date.

Past due accounts collections and loss of child care
If payment is not received in full within 30 days of invoice due date:
- Your care may be suspended
- Your care and contract may be terminated

Continuous billing
There are no credits for absences, including school closures or planned vacations. Exception - Summer. See vacation voucher.
Flex spending
All requests for Flex Spending verification need to be processed through the program Bookkeeper. Monthly statements serve as a valid receipt. Should you need a signature verification, please allow two business days for processing. Forms may be faxed to 651-425-6620, Attention: Kids Club Bookkeeper or emailed to kidsclub@sowashco.org.
Financial assistance
CCAP (Child Care Assistance Program) funds for Kids Club tuition may be available through your county of residence if you qualify. For residents of Washington County, more information can be obtained by calling 651-430-6459. If you receive county child care assistance, it is your responsibility to complete all paperwork with the county, and to provide our bookkeeper with copies and your case worker information. Without this paperwork, we are not able to process billing and payment with the county. There are some fees which the county will not cover. All bills remain your responsibility.

Tax Statements documenting tuition paid to Kids Club are available in your Community Education customer profile (Kids Club billing account) after January 1. Child Guidance
Kids Club promotes a positive approach with all children and the management of behavior expectations.
Our program environment:
- Provides a positive, safe and pleasant atmosphere.
- Meets the developmental level of the age group.
- Provides space for socialization and independence.
- Maximizes the capacity of staff supervision.
Student behaviors
- Respect fellow students; do not tease or harass. Bullying behaviors will not be tolerated.
- Treat materials with care.
- Return materials to their proper place after use.
- Share all materials.
- Clean up after yourself.
- Listen to and follow the direction of staff at all times.
- Report problems to any Kids Club staff member.
- Keep hands and feet to yourself.
- Gum and candy are not allowed.
- All school district rules and policies will be followed.
- Use acceptable language.
Site expectations
Each site’s behavior expectations are created with the children’s input and posted. Children will have a clear understanding of the program rules. Expectations emphasize each child’s responsibility to the other children, staff and the environment.
- Behaviors that cause harm or do not follow expectations may result in a loss of privileges. Parents/guardians will be notified of the behavior.
- If behavior is unsafe or continues to be disruptive, parents will be notified and expected to immediately pick up their child.
- If behavior on field trips is dangerous or unacceptable, field trip privileges will be withdrawn and parents/guardians will need to provide alternate care for their child during these events.
The program staff will work with each family to create a successful environment for each child in our program.
Reporting behaviors
Site Supervisors will have conversations with parents as soon as possible after behaviors occur in order to work with you and support your child’s positive participation. Behaviors will be documented on the Kids Club Documentation Form or a Note About Your Child's Day. Repeated serious behaviors towards one’s self, other children or staff, disregard for rules and authority or threatening behavior may result in program suspensions

Respectful communication
Modeling respectful behavior is important for our kids. We expect our staff to maintain respectful and professional communication at all times. In addition, we expect that families maintain respectful communication with all program staff. If issues arise between children, address the concern to your Site Supervisors who will work with all children on site. Do not speak with another child.
Suggestions, questions and concerns
In order to address your needs at the most appropriate and effective level, we suggest the following steps.
- Before a need arises, it is important that you get to know your site staff. Building a positive relationship helps your child to have a great experience in Kids Club. Our staff will be reaching out to say hello and share information about your child as much as we can while working with the children.
- If you have a concern, speak with your Site Supervisor. We recommend calling during non-student contact time or having a short, direct conversation at pick-up or drop-off. Please get to know your site staff!
- If concerns persist or discussing the issue with the Site Supervisor proves to be insufficient contact a Kids Club Coordinator at the central office.
- Families are welcome to request a conference.
- If issues persist, contact the Out-of-School Time Program Manager.
- Feedback is always welcome. Formally Kids Club seeks regular feedback in the form of electronic surveys throughout the year. Please take time to respond! The information gathered is used to guide program decisions!
Family Area - Folders and communication notebook
Each program has a space dedicated for posting important information (a ‘Parent Board’). Please review this area often for new information. We also use a system of on-site family folders to share information. Please check these folders daily. Additionally, each program will have a ‘family communication notebook’ on the sign in/out table.
Email information
E-mail alerts will also be sent out to our families using all e-mail addresses on your child’s current contract. Emails from our central office and your Site Supervisors will include program registration information, Non-School Day registration materials, site newsletters, emergency closing updates and so on. The subject line will often start with ‘Kids Club’ and will be from a username@smore address . Please be sure to read all! If you are not receiving emails, contact your Site Supervisor to verify your address or login to your customer profile, select your child's current Kids Club enrollment contract to verify your information. Updating information will need to be done through our business office (email: kidsclub@sowashco.org).
Emails will be sent to keep you informed of site activities and what you need to do to prepare your child for participation. Please read emails carefully and watch for additional information posted in the family area, daily schedules , activity calendars (summer) and lesson plans.
Summer
During the summer program our groups are involved in numerous events and activities each week. During this season emails are sent on Fridays each week with details and information for the next week's programming.
School Year
Information emails are sent monthly around the first week of the month. These communications will often include enrollment planning details (non-school days, seasonal) as well as site program events and plans.
Non-School Days
- Enrollment: Two weeks before each session's enrollment deadline an email will be sent to all participants noting special events.
Two-three days before a session deadline a reminder will be emailed to request or remove enrollments before the deadline. - Participation: You will receive an email one week prior to each session in which you have enrolled. This email will come from staff working at your non-school day location. This email will contain important details to assist you in planning your child's participation in the session.
Parent Advisory Council (PAC)
The Kids Club Parent Advisory Council is made up of parent/guardian representatives from each site. The council meets two times per year to support program initiatives. Regardless of the season, contracted days for full-time, and half-day schedules must be the same days/time each week.

We are open to current elementary age children, grades K-5, for before and after school care in elementary buildings each day school is in session.

- Part-Time: 1-4 days per week before and/or after school.
- Non-School Days: Number of days and type of care varies.

Non-School Days
We offer full-day child care sessions on select non-school days (teacher workshops/conference days, winter holidays and spring break) at consolidated locations. Non-School Day (NSD) enrollment is optional and separate from your school year contract.
- There is an additional non-school day fee (see online fee schedule).
No discounts apply. - There are no refunds for cancellation or illness.
- All participants must be pre-enrolled.

Summer
We offer full-day and half-day programs during the summer at select locations to students who have successfully completed grades K-5 in the preceding school year. To best serve your child’s developmental needs on long summer days, Kids Club is offered for grades K-2 and Upgrade is designed for grades 3-5.

- Any time a child attends the program outside of their
contracted days/times, the drop-in rate will be charged. - A drop-in contract does not provide a guarantee for
attendance and should not be depended on to cover a
regular schedule need. Attendance will be allowed provided
there is adequate space within our required staff to child
ratio count. Paying the registration fee is not a guarantee for
space. - Parent/guardians will need to contact the Site Supervisor
1-2 business days prior to the drop-in date to check space
availability. - Upon approval of attendance the spot within the ratio count is held aside for your child. If you find that you no longer need an arranged attendance a 24 hour cancellation is required. Failure to cancel 24 hours prior will result in the drop-in fee being applied to your billing account whether your child is in attendance or not.

Separated household families

An enrolled child’s parent or legal guardian must be allowed access to the parent’s or legal guardian’s child at any time while the child is in care. Additionally, in our registration system the Kids Club account created for a child’s enrollment and participation in the program is the child’s account. Schedules and Financial Responsibility: Both parents have the legal right and ability to make decisions for the child. Therefore both parents can be owners of the child’s account and make enrollment and participation decisions for the child, unless legal paperwork has been submitted to Kids Club notifying the program of limited custody or parental rights. Without written court documentation submitted to the program, Kids Club must honor parental rights of both parents. In cases of dispute, the parents need to work through differences together.

Contract changes
School Year
Changes to school year enrollment contract are made under the following terms:
Contracts and associated fees are per child.
A $25 contract change fee, $5 additional fee per sibling applies to each change made to a contract during the school year (increase and/or decrease to scheduling) within the following time frame: August 1-end of season.*
- Requests to increase your contract will be accepted based upon space availability. A start date of the new contract will be arranged to begin within 3-5 business days; *contract change fee applies.
- Requests to reduce or withdraw your contract.
- Notification of the contract change received through July 31 will become effective the first day of the school year season - no fees will be billed for the original contract.
- Notification of a contract change received August 1-14 will go into effect the first day of the school year season - no fees will be billed for the original contract; *contract change fee applies to your first billing invoice for the season.
- Notification of a contract change received August 15 through the day before the first day of the school year season will take effect with a two week notice - fees for the original contract will be billed for the first two weeks of the school year program; *contract change fee applies.
- Notification received the first day of the school year program through the end of the season will go into effect two weeks after received - fees for the original contract will be billed during the two week notice timeline; *contract change fee applies.

Summer
Changes to summer enrollment contract are made under the following terms:
Contracts and associated fees are per child.
A $25 contract change fee, $5 additional fee per sibling applies to each change made to a contract during the summer (increase and/or decrease to scheduling) within the following time frame: May 1-end of season.*
- Requests to increase your contract will be accepted based upon space availability. A start date of the new contract will be arranged to begin within 3-5 business days; *contract change fee applies.
- Requests to reduce or withdraw your contract.
- Notification of the contract change received through April 30 will become effective the first day of the summer season - no fees will be billed for the original contract.
- Notification of a contract change received May 1-14 will go into effect the first day of the summer season - no fees will be billed for the original contract; *contract change fee applies to your first billing invoice for the season.
- Notification of a contract change received May 15 through the day before the first day of the summer season will take effect with a two week notice - fees for the original contract will be billed for the first two weeks of the summer program; *contract change fee applies.
- Notification received the first day of the summer program through the end of the season will go into effect two weeks after received - fees for the original contract will be billed during the two week notice timeline; *contract change fee applies.
I understand and agree that when making a change to the enrollment contract:

Non-School days

- All enrollments into Kids Club non-school day sessions are final upon approval of the enrollment (occurs upon the enrollment deadline date/time for each non-school day session within a school year season).
- Fees for these days are non-refundable/non-transferable as staffing is arranged based on registration numbers.
- Late registration will be accepted as space allows and are subject to a $10 late fee.
- Kids Club may need to transfer enrollments to a different location due to enrollment numbers.
- Non-School Day hours: 6:30 am - 6:00 pm
- No additional fees for field trips and on-site presentations.
Participants need to bring a cold lunch, including beverage and utensils unless otherwise stated.
Refrigeration is not provided; plan accordingly.
- A light breakfast and snack are provided at no additional fee.
Cold Weather Closure programming
This enrollment allows my child eligibility to attend full day programming at my selected cold closure location on all days that school may be closed due to extreme cold.
Note: Kids Club will be closed on days when school is closed due to all other weather or environmental conditions.
- A one-time non-refundable, non-transferable registration fee, per child is due upon approval of enrollment. Payment of the registration fee secures your child's attendance for all instances in which school may be closed due to extreme cold.
- A daily fee, per child will be assessed to your Kids Club billing account for each day that Cold Closure Programming is held.
- The daily fee will be assessed to all participants enrolled in the Cold Closure Programming regardless of attendance.
- Please note that the regular before and after school schedule fees still apply; no refund or credits of these contracted fees are given for school closure dates (including closing due to all other weather and environmental conditions).
- No discounts apply.
- All enrollments into Kids Club Cold Closure sessions are final. The registration fee is non-refundable, non transferable as staffing is arranged based on registration numbers. No refunds or credits will be issued if you do not attend.
I further understand that due to circumstances outside of Kids Club access the program will not have food on hand for my child and that I am responsible to provide breakfast, lunch and snack food items for my child(ren).
Billing
Tuition is due for the contracted schedule whether or not your child is in attendance. Credit is not issued for illness, vacation (excludes vacation voucher submission - see terms), time missed due to participation in other programs or activities or emergency school closings.
If your child attends the program on days/times for which they are not contracted, you will be charged for the extra days/times at the drop-in rate; you cannot 'switch' days/times during the week.
Additional fees may apply in circumstances of late pick-up, finder's fee, forgotten field trip t-shirt or forgotten lunch.
5% sibling discount: applies to contracts after the first child that are on the same billing account. Discount is given to the child contracted the fewest number of program components (days/times).
25% educational benefit discount: applies to contract for which a child's qualification notice has been submitted to the program bookkeeper.
Discounts cannot be combined and do not apply to drop-in attendance.
Bi-monthly billing invoices are issued on the 1st and 16th of each month with payment due in full on the 15th and the 30th of the month.
A $25 late payment fee applies to all accounts with a balance remaining after the payment due date (exempting those with a pre-arranged payment plan).
Payment is made through online access to the child's billing account, via auto pay setup or manual payment within the account or by directly contacting the program bookkeeper.
Setup of auto payment within your online KC account is highly encouraged.
Accounts unpaid at 30 days past due may result in removal of the enrollment contract and the account associated may be sent to our collection agency for further collection efforts.
I understand and agree that once my enrollment request has been processed (approved and the registration fee collected) that my child is enrolled into a contract with Kids Club and that I am responsible for tuition and fees according to the terms of Kids Club enrollment.
Field trip terms
All children must attend the field trips, or the parent/guardians will need to make arrangements for alternate care. Fees will not be credited for a child missing a field trip due to attending other programs, illness, lateness, vacation or other absence.
Arrive on time - All participants need to be in attendance for preparation of the trip. Participants not arriving by the stated arrival time, unless otherwise arranged, may not be eligible to attend the event.
I do hereby grant permission and authorize my child to attend and participate in field trips/swimming trips. I acknowledge and agree that the District 833 staff involved in the field trip are not liable or responsible for accidents or injuries which may occur (in the absence of negligence). In the event of an emergency situation, I authorize the staff to follow the program emergency procedures. I further acknowledge and agree that in the event of a non-emergency situation, such as sickness, injury or behavioral issues, I will make arrangements to transport my child from the field trip at staff request. I acknowledge that I fully understand and agree to these terms.
Practices and procedures
I acknowledge that I have read the information within the Kids Club Family Handbook.
Submission of my online enrollment request indicates my consent to follow program practices and procedures as detailed in the Kids Club Family Handbook and that I am held to the terms of the Kids Club enrollment contract.
I further understand that my Kids Club enrollment contract may be terminated if practices/procedures are not followed and terms of the enrollment contract are not met.
Registraton fee

Release and authorization
- In case of an accident or serious illness, I request program staff to contact me, if unavailable, a party listed on my emergency card.
- I acknowledge and agree that staff involved in the program are not liable or responsible for any accidents or injuries which occur in the absence of negligence.
- In the event of an emergency situation, I authorize the staff to follow the program’s emergency procedures, and to seek emergency medical treatment for my child as appropriate. I further acknowledge and agree that in the event of a non-emergency situation, such as illness, minor injury or behavioral issues, I will make arrangements to transport my child from the program site (or off-site field trip location) upon staff request.
- Program staff may speak with district staff regarding a child’s social, emotional, academic and/or behavioral needs.
- I understand that the staff may take pictures of my unidentified child which may be used for Community Education or District 833 marketing purposes (including but not limited to: program website, Facebook, written materials).

Please note: tuition credits/refunds are not issued for closings related to inclement weather or building emergencies.
Communication
If inclement weather conditions necessitate delayed starts, early dismissals or emergency closing of school buildings announcements will be posted via:
- District’s email/text notifications
- District website
- Local news stations and radios
Building emergency – mid-day
If school is closed during the middle of the school day due to a building emergency (e.g., power failure, no water, etc), Kids Club may close or may relocate programming to another location.
Delayed opening/late start
If school has a delayed start time Kids Club will open two hours late to participants enrolled for that day (8:30 a.m.)
We will be open for children who are already scheduled to attend that morning session. Those who attend the program in an afternoon-only or drop-in only contract who wish to use drop-in services on a delayed opening/late start morning must call the site first to determine if space is available.
Early dismissal/closing early
If school is released early Kids Club will open early, at the time of school release, to participants enrolled for that day.
Kids Club will close at 4:00 p.m. in this situation.
Late pickup fees apply to arrival for pickup after 4:00 p.m.
Our staff will follow these procedures:
- Children who are scheduled to attend our program that afternoon will report to the program’s home base and wait to be picked up by the parent/guardian or other alternate pick-up.
- If you pick up your child, or make arrangements for them to go home, please notify our staff before your child leaves the school. Our staff cannot leave the building until all children have been accounted for.
Non-school days
On days when school is not scheduled and Kids Club is hosting full day programming, Kids Club will make the decision for closure or a modified day based on weather and road conditions.
Communication of a change in Kids Club availability on a non-school day will be emailed to participants enrolled for the day by 5:30 a.m. the day of.
Communication will come from Kids Club only - the District website, Blackboard Connect and media sources will not apply.
School closure - full day
If school is closed due to extreme cold Kids Club will be in operation at consolidated locations for pre-registered participants only. This is a separate enrollment involving a registration fee to secure placement into programming. If your child is not enrolled into the Cold Closure programming you will need to make other arrangements for their day. No Drop-In attendance allowed.
If school is closed due to all other weather or environmental conditions, Kids Club is also closed. Do not bring your child to school. Families need to have alternative care plans should an emergency closing situation arise.
Family Responsibilities
Family Responsibilities
We believe that family is the primary and most significant influence in a child life. School-age programs strengthen, support, and extend family experiences. Through the cooperative efforts of home and school, children will be able to develop to their fullest potential. Please share important information and insights with staff including strategies that work well, tips on helping your child through difficult times. It is important for us to partner!
Parent/guardian responsibilities
- Observe the rules and policies of the program.
- Let staff know if your child will be absent from the program (ex. sick, vacation, etc).
- Sign your child in (morning) and out (afternoon) daily using the iPad.
- Pay fees on time.
- Pick children up on time.
- Share your concerns with the Site Supervisors, Out-of-School Time Specialists, Program Coordinators, or Out-of-School Time Manager.
- Read posted messages and emails regularly.
- Inform staff if a child has been exposed to a contagious illness.
- Notify Community Education office of all contract changes and withdrawal, and abide by contract terms.
- Keep your child’s records up to date, including updated phone numbers and emergency contact information.
- Support school district and Kids Club rules and policies with children.
- Respectful Conduct: Maintain positive communication and refrain from inappropriate behavior while on school property and when engaging with Kids Club staff. Behavior such as threats, inappropriate language, and verbal or physical aggression towards staff, students or others can result in Kids Club contract termination.
Parents, guardians and other adults who do not abide by these rules may have their Kids Club contract terminated.
Orientation and open house
Parent/guardian orientation document will be emailed to all participants prior to the start of each season.
Our Site Supervisors will be present at each school’s ‘Open House’ night prior to the start of the school year and summer staff will host an open house the week prior to the start of the summer program. The open houses are a great opportunity for staff to meet your child and answer any questions you may have. We encourage all participants, new and returning, to attend!
Visiting
We invite you to visit our sites anytime during operating hours. If you would like a tour or to meet with a staff person, please contact the site where your child will be attending (Contact Us). Also, if you have a unique skill or talent you would like to share with the children, we encourage you to contact our site staff to arrange for this opportunity.
Emergency contacts and accurate account information
For safety reasons it is imperative that you provide current information on your child’s registration. Be sure to update all contact and personal information as it changes. It is the parent’s/guardians’s responsibility to keep the Kids Club program up to date with changes to their child's contract.
Field Trips

- All Students scheduled for attendance on a field trip day attend the trip.
- Children will need to arrive by the posted time to attend field trips.
- Late arrivals may not be allowed to attend.
- Arrival time is earlier than departure time due to safety steps that must take place prior.
Participation
When submitting a Kids Club registration, permission is granted for a child's participation in all field trips (school year, summer, non-school day enrollments). All children must attend the field trips, or the parents/guardians will need to make arrangements for alternate care. Fees will not be credited for a child missing a field trip due to attending other programs, illness, lateness, vacation or other absence.
Prepare
Take the time to review information and updates posted so your child will be prepared for the activities. All information pertaining to field trips will be posted at your Kids Club location (summer), included in an email communication (summer, non-school days) as well as within the online activity calendar (summer).
Our special events will take place on varying days throughout the session. If your child is participating in a non-Kids Club activity that conflicts with the field trip schedule, it is up to the family to make arrangements for care or transportation during the field trip times. Staff cannot stay behind to offer care to children not attending their group's field trips.
Arrive on time
All participants need to be in attendance for preparation of the trip. Preparation involves the completion of a field trip documentation, discussion of the event and expectations for the kids to follow during the trip, collection of items that will accompany the group, head counts, bathroom breaks, meal service (if appropriate), etc. Your site staff will communicate an arrival time in advance to the trip so that all children are on-site and involved in prepping for the event. Participants not arriving by the stated time, unless otherwise arranged, may not be eligible to attend the event. Drop-off at the venue is discouraged and would need to be prearranged and approved by your Site Supervisor for safety of the group.
What's included
Your child will not need (or be allowed) spending money on field trips. Our trips are "all inclusive" to allow children the same opportunities as well as for parent/guardian convenience.
Waivers
Completion of a participation waiver may be required by a vendor we are visiting. If a signed waiver is required, this must be on file before a child is able to participate in the activity. If a waiver is not on file or if you choose to not have your child participate in the activity they will accompany us on the trip and will be offered an activity at the venue while the remainder of the group participates.
Summer
- A link to activity calendars will be included in the weekly communication.
- Each child will receive a Kids Club t-shirt at the beginning of summer (at no fee). Families will have a one-time option to purchase an additional t-shirt at the time of registration. These shirts must be worn on all field trips. Should children forget to wear their t-shirt on field trip days, a loaner shirt will be provided at a fee.
Non-School Day Sessions
- Event information is included in marketing information for the non-school day session. Details about the event are communicated via an email sent to all participants enrolled in the session a week before the session begins.
- We do not purchase program t-shirts for children during the school year. A color of shirt will be designated for each non-school day group to wear during off-site events so that as our group interacts in a public venue participants are readily identified as a member of our group. Any shirt from home of the requested color will work. The color of shirt to wear during an event will be announced in the email for the session along with other event details.
Illness & Injury
illness
- A child who is too ill to go to school may not attend Kids Club.
- If your child becomes ill while in our care, he/she will be isolated from activities to rest under supervision, while you’re notified.
- For the care and safety of your child and others, you are responsible for picking up your child within one hour of being contacted or for contacting an emergency person to pick up your child if you cannot do so.
- If we are unable to reach you, we will call an emergency contact to pick up your child within one hour.
- You must notify Kids Club of all absences. The school is not responsible to notify Kids Club of student absences. A site phone directory is available at Contact Us. If you pick up your child mid-day from school, you may leave a note in our school office mailbox (school year option only).
- Your child must stay at home for 24 hours after symptoms are gone.
- If your child has attended Kids Club while contagious with a communicable disease, please notify your site so that we can post appropriate notices for other families.
Symptoms
Children who are ill cannot attend the program. You will be contacted to pick up your child if they have any of the following symptoms:
- Vomiting
- Diarrhea
- A temperature registering 100 degrees or higher
- Symptoms which indicate your child may have a communicable disease
Exposure to communicable diseases MUST BE REPORTED to staff immediately. Parents will be notified in the case of infections or communicable diseases at the site according to the policies set by ISD 833. Kids Club reserves the right to exclude children from attending if they are presenting symptoms of head lice.
Allergies and Chronic Conditions
Upon registration or at any time that your child should become allergic or develop a chronic medical condition it is critical that you report your child’s needs to the Kids Club Site Supervisor and Inclusion Coordinator. Follow medication procedures for any needed medications. You must also supply a care plan (allergy, asthma, seizure, etc.) to your Kids Club staff.
Immunizations
The Minnesota School Immunization Law requires that all students are current with certain immunizations before starting school unless there is a medical or conscientious exemption on file. The immunization dates or exemption information must be given to the school health office before the first day of school. If a child does not meet this district requirement, they cannot participate in Kids Club. Children who participate in Kids Club and are not enrolled in a District 833 school must provide written documentation of immunization or conscientious exemption to the program prior to attending Kids Club. Without written documentation of immunization or conscientious exemption, a child cannot participate in the program.
Injury
Liability
Kids Club is not liable or responsible for any accidents or injuries which may occur in the absence of negligence by the staff. Neither ISD 833 nor Kids Club carries insurance on students.
Reporting Injuries
In the event of an injury, an Injury Report will be completed documenting the incident. If your child treated by doctor or dentist as a result of an injury sustained at Kids Club, please notify your Site Supervisor and/ or the Inclusion Coordinator so that Kids Club can follow up as required.
emergencies
In the event that your child requires emergency care, staff will take the following steps:
- Administer basic first aid as needed.
- Contact parents/guardians. If unavailable, call an emergency contact.
- If an emergency vehicle is needed, we will attempt to check with the parent/guardian or emergency contact for instructions for transportation. Kids Club reserves the right to call 911 without approval in severe cases.
- If a parent/guardian or emergency contact cannot be reached, and it is an extreme situation, staff reserve the right, with the assistance of the paramedics, to determine if your child will be transported by emergency vehicle to the closest hospital. Parents will be responsible for any expense incurred.
- Staff members are not authorized to transport students in their personal vehicles.
Inclusion
Inclusion
With appropriate advanced planning, children with special needs can successfully participate. In order to best meet special needs in an elementary school-based child care setting, we need the following from the parents/guardians and children:
- complete information regarding the child’s special needs
- a completed intake form to help identify supports
- a meeting prior to starting the program (as needed)
- ongoing communication with the staff
If the parent/guardian does not inform Kids Club of a child’s special needs and those needs significantly impact the child’s success in the program, child care services may be suspended until an appropriate level of support can be arranged. Children must be toilet-trained (unless a significant physical disability prevents self-toileting - signed medical release authorization must be on file to offer diapering in these instances).
Working together
It is important for families to communicate openly about the needs of their children so that we can create a safe and successful environment of care. Because of data privacy requirement, not all information is shared between school staff during the day and Community Education's Kids Club. It is best to share important information about your child with both school day and Kids Club staff. Thank you for working with us to provide the best possible care we can for your child.
Authorization to release student data
During enrollment into Kids Club families will be asked to indicate if they authorize the program to obtain and/or release educational data related to the child from South Washington County Schools District staff for the purpose of designing and providing individualized services to the child, as well as ensuring that Kids Club is aware of any medical concerns or other needs that the child may have. This information may include Health Records; Medical Records; Teacher, Counselor, Staff Observations; Special Education Records; and/or Social Work Reports.
Kids Club will not access any educational records or seek information from such records until after the child's enrollment application has been approved. Kids Club is not seeking, nor does it wish to receive, any protected class status information regarding the child prior to the approval of the enrollment. This authorization takes effect as of the date the child is accepted into Kids Club, and will be in effect through the end of the term of care of the enrollment which may also include non-school days and/or cold closure care, not to exceed one calendar year.
If the child is not accepted into Kids Club due to a lack of available space, this authorization shall be immediately null and void. This authorization can be stopped at any time by written request to the Kids Club enrollment and billing office. By selecting authorize, I agree that relevant information can be shared between Kids Club and other District staff for the purposes of providing services to the child. In the case that authorization is not granted, this may lead to Kids Club having to make decisions and provide care for the child without the benefit of the requested information. It is the parent's responsibility in all cases to alert Kids Club of any changes to the child’s information that may occur after the child’s enrollment is accepted.
Additional support for special needs
If extra staffing is necessary to support special needs, accommodations will be made based on staff availability. In the best interest of the child, he/she may not participate in the program until appropriate staffing is secured.
Medical care
If your child requires medical care that cannot be provided by our staff, we will work with our district Health Services Department in an effort to make accommodations. If your child is enrolled on a Non-School Day or in the summer program, this level of support may only be available at one or two program sites.
Kids Club setting
We are a very active elementary school-based child care environment, with multiple free-choice activities. Many children, staff and family members come and go throughout the day. Such a busy environment may not best suit the needs of all children. Parents/guardians should select the type of child care environment that best meets the needs of their child and must inform Kids Club of the child’s needs.
Accommodations
If a child is not successful in our environment with the level of support offered, alternative child care arrangements may be recommended. The start date for a child with special needs may be determined by the programs ability to accommodate the needs of the child. Failure to identify a child’s special needs may result in temporary suspension of care while we assess and put appropriate accommodations in place. Children whose limitations create a safety issue of unreasonable risk, harm to themselves, others or property or for whom substantial alterations to the program would be required may not be accommodated.

Medication Policy
Medication Policy
Kids Club uses the procedures below for dispensing medication during program hours. These procedures comply with District 833 School Board policy and must be followed.
- Forms: Under no circumstance will program staff administer or provide any medication (prescription or over the counter) without written parent/guardian authorization and physician authorization as required. A Medication Authorization form is available on this website.
- Families must provide medication in its original container labeled by the pharmacist with the following information:
- Child’s name
- Name, address, and phone number of pharmacy
- Name of physician/pharmacist
- Directions for use
- Name of manufacturer
- Date of original issue/renewal - families must track expiration dates and resupply medications as needed.
- Generic or trade name of drug and strength.
- Medication must be delivered to a Site Supervisor and will be stored in a locked cabinet.
- Medication will be administered only by a Site Supervisor, except in the case of lifesaving medications.
- Each school will keep a log for each student.
- When transferring sites (season to season, non-school days), it is the family’s responsibility to bring medication and signed forms to the new site.
- Written permission is collected for application of sunscreen and
insect repellent.
New Clarification: According to MN Statute 245H.13 for Certified Child Care Centers - Kids Club must follow written instructions provided by a physician for prescriptions or found on an over the counter medication container/box. What does this mean?
If as a parent, you wish to alter medication instructions in any way you must provide a signed authorization from a physician. This would apply to situations like:

Skip the afternoon dose of Adderall because your child will be picked up shortly and you prefer that the child not have it at that time.

OR give an additional baby aspirin instead of what the label indicates because the child is older/larger than the guidance on the label. OR give medication in foods to help the child take/swallow the medication and taking in this way is not indicated on the prescription or medication label.

OR alter dosing/administration outside of any written documentation.
Kids club is not able to follow requests like those adobe if not in line with prescribed or labeled instructions.
At Kids Club we are only able to dose and administer following written, labeled and signed instructions. If there are no explicit instructions indicating that the schedule can be adapted or that the dose may be skipped, or that the medication can be given in food or by other means, then we are not able to honor those requests until the parent submits to us written authorization from a physician.
This applies to child care programs specifically. Our school nurses have different authority and ability to follow parent requests than we do for the school year. You will therefore see, from time-to-time, different processes being followed.

Curriculum
We provide a weekly curriculum with a variety of theme-based activities. Children may choose from the activities based on their interest.
Activities are focused in our 8 Key Learning areas including:

- Social emotional learning
- Physical activity
These learning areas were identified through surveys of our families and program staff. Social emotional learning is the learning area of greatest importance as identified by families, staff and District staff. Developing social emotional skills supports children throughout their lives. Kids Club is dedicated to implementing strategies and activities to support social/emotional growth and development. In alignment with federal guidelines for student health and wellness, Kids Club strives to offer 60 minutes a day of physical activity during the summer and non-school days, and 30 minutes per session during the school year. Our staff will offer a variety of activities daily. Due to other District programs, availability of all areas may not be possible every day.

Movies may also be shown. All movies will be rated ‘G’ unless the families are notified in advance of a ‘PG’ movie through a sign posted at the site.
Breakfast and Snack
A light breakfast and mid-afternoon snack are offered daily at no additional fee. Please inform your Site Supervisor if your child has any food allergies.
Personal belongings
- Children should be encouraged to leave toys or personal items at home. Items brought to the program will be shared with everyone.
- Children are responsible for their own items. Lost or broken items are not the responsibility of the program.
- Belongings sent to Kids Club must be labeled.
- Kids Club allows personal handheld devices during the summer months only. They are not allowed during the school year, including Non School Days. Use of these devices will be limited (typically one hour in the morning and one hour in the afternoon - in conjunction with other ‘screen-time’ options - scheduled at the discretion of the Site Supervisors).
- Trading cards or cell phones/phone watches/personal technology devices are not allowed.
Children's clothing
- Children should be dressed appropriately for indoor and outdoor activities.
- Outerwear should be labeled.
- All children need to participate in outdoor activities. Staff ratios do not allow for some children to remain inside.
- Children should wear tennis shoes. Sandals, flip-flops, etc. are not appropriate for our active program.
- For Non-School Days and in the summer program, be sure to review emails and the Parent Boards frequently, some events or field trips may require special clothing.
Playground safety
District elementary schools and out-of-school time programs reserve our district playgrounds for student use from 6:30 a.m. - 6:00 p.m. For the safety of our students, visitors and community guests are not permitted to use the playground and outdoor spaces when in use by our students. If visitors are using the playground during these times, they will be asked to leave and may return when the group is done. Election days
Kids Club hosts programming within buildings that are being used as polling places with advance planning. Our group of kids is much smaller than what would be present during a school day. Sharing of the building is easier managed and the amount of cross-over that takes place minimized. District staff works with election officials that will be in the building to plan for the public’s presence. Areas are designated for the public, Kids Club staff and election officials monitor areas of access and students are observed during their transitions and participation in common spaces within the building.

Dates Closed
We are closed approximately five days at the beginning and end of each school year for staff training and to prepare the program sites.
We are closed on all major holidays, including, but not limited to: Labor Day, Thanksgiving (and the day after), December 24 and 25, December 31, January 1, Martin Luther King Jr. Day, Presidents Day, Good Friday, Memorial Day and July 4. If a holiday falls on a weekend, it will be observed either the previous Friday or the following Monday.
Typical Activities
Art and crafts, social/emotional based learning, reading and language, health and safety, science-based activities, service learning, life skills and cooking, 30-60 minutes of movement daily, dramatic play, quiet time, snacks provided in the AM and PM, field trips, free play: board games dramatic play, manipulatives.
Staff
Kids Club staff are the heart of our program and have a passion for engaging students in fun and educational activities. Kids Club maintains a 1:15 staff to student ratio. Ratios are lowered for swimming and other high risk activities. Kids Club has a commitment to high quality programming and continuous improvement. All staff receive ongoing professional development in the areas of child guidance and development, health and safety including first aid and CPR, programming and activities, and social development.
Staff roles include:
- Paraprofessionals are responsible for implementing activities and engaging with children to build strong positive relationships with your child.
- Inclusion Support Specialists (ISS) are responsible for site-based operations like opening, closing, planning, and inclusion processes and directly support unique needs of students.
- Site Supervisors are responsible for the day-to-day onsite operations of Kids Club including planning and implementing activities.
- Out-of-School Time (OST) Support Specialists are responsible for support in the areas of inclusion, site administration, safety & security and courses.
- Coordinators are responsible for administration of program-wide operations and site support. Each Coordinator fulfills a different administrative role.
- Program Manager is responsible for administration of Kids Club and other out-of-school time programs.

Online Registration
All enrollment is placed on a first come, first serve space availability basis.
All children must be registered in order to participate in Kids Club. Enrollment is limited due to staffing and space availability. Please contact our business for additional details. You must register separately for each season and every non-school day. Carefully review your enrollment request before submitting. It is your responsibility to review enrollment confirmation emails and verify dates, times and schedules.
Requirements to Register:
- Complete an online registration request.
- Provide a functional email address for our account profile.
- Submit a non-refundable registration fee.
- Your child's account must be paid in full and in good standing.
- Childrent must be enrolled in grades K-5 (current school year) or have successfully completed grades K-5 (summer)
Enrollment sessions
Summer
Summer enrollment sessions are typically held in February.
One enrollment session is held.
Enrollment requests are reviewed based on participant status. Request received for participants with an active contract with us during the school year (at the time of the enrollment session) will have their requests reviewed in the order received and placed for enrollment with priority. New/summer only participant requests will be reviewed in the order received after current participant requests have been placed.
- Current Participants - students holding enrollment in Kids Club during the current school year at the time that the summer enrollment session begins
- 'New' Participants - Summer only and new participants not enrolled in Kids Club during the current school year
Enrollment requests are reviewed and placed for enrollment in the order received as space availability allows.
A registration fee is assessed upon enrollment placement.

School Year
School Year enrollment sessions are typically held in April.
2 Enrollment Sessions:
Enrollment requests are sought based on participant status.
Session 1: Current Participants - students holding enrollment in Kids Club during the current school year at the time that the enrollment session is held for the upcoming school year.
- Participants must be re-enrolled to continue participation in the next school year season.
- Enroll incoming Kindergarten siblings along with their already enrolled sibling.
- Guaranteed Enrollment - Participants enrolling into the same schedule they held during the current school year will receive GUARANTEED enrollment when placing their enrollment request during the time that the Current Family enrollment session is being held. Requests for continued enrollment must be in place the current family enrollment session ensure your guaranteed schedule.
- Enrollment Additions - Participants renewing their schedule and requesting additional enrollment will want to request their enrollment as soon as possible. You will receive a GUARANTEE of the schedule that you hold this school year. The portion of your enrollment request to add more days will be reviewed in the order received and will be approved for enrollment as space availability allows after all participants have claimed their guaranteed schedules.
Session 2: 'New' Participants - Incoming Kindergarten and participants not enrolled in Kids Club during the current school year.
- Enrollment requests are reviewed in the order received and approved for enrollment as space availability allows.
- If your full requested schedule is available your request will be approved for enrollment and the schedule held in the child's name.
- If a portion of the requested schedule is available we will contact you via email to discuss enrollment into the available schedule and placement on a waiting list for the remainder of the request.
- If no portion of the requested schedule is available we will contact you via email to notify you of wait list placement.
- A registration fee is assessed upon enrollment placement.

Non-School Day sessions
Registration for non-school days is optional, is separate from your school year contract and is at an additional fee (billed to your Kids Club account).
Online pre-registration is required for participation.
Drop-in attendance is not allowed on non-school days.
- Enrollment opens for all non-school day sessions on the first day of the school year.
Plan ahead, enroll in advance or enroll as each session's deadline approaches. - Each session's enrollment will close approximately four weeks prior to the day(s) off of school.
- Log into the Community Education enrollment website and request your scheduling through your Kids Club billing account. You will be contacted by our business office if there are any questions or issues with your request.
- Upon placement of your request you will receive a confirmation that your request was received. Review confirmation for accuracy.
- Upon approval of your enrollment (occurs the day following the session's deadline) you will receive a second email confirming your child has been enrolled. Review approval email for accuracy.
- We strive to accommodate all participant requests that are received by the enrollment deadline.
- Upon approval all enrollments are final.
Cold Closure
Kids Club will be available for full day programming this winter season on days when school may be closed due to extreme cold.
- Enrollment is open to currently enrolled Kids Club participants only (school year contract).
- Pre-registration is required.
- A one-time per season enrollment session is held annually. Typically held in October.
- Enrollment requests reviewed for space availability in the order received.
- Space may be limited.
- All enrollments are final upon approval.
- Registration fee is collected upon approval of enrollment (same day to 7 business days after enrollment is requested.
- Registration fees are non-refundable/no-transferable.
- If programming is not held $50 of this registration fee will be refunded back to the original form of payment in April.
What's next?
Please allow 1-7 business days for action toward your request. Enrollment requests will be addressed in the order in which they are received, as space availability allows.
If your first-choice site is full
- Summer: You will be given an opportunity to transfer your enrollment (if space is available) to another location.
- Summer & School Year: You will be placed on a waiting list.
Non-district students - submit immunization paperwork.
You will receive an e-mail confirmation once your request has been processed and the non-refundable enrollment fee has been paid.
After your registration is processed, allow up to two weeks before child may attend kids club (mid-season requests).

Current school year participants
Families currently enrolled in the school year program are given the first opportunity to renew enrollment for the upcoming summer and school year programs.
Summer enrollment is typically held in February and School Year in April.
Specific information is emailed to families as the enrollment session draws near.
Non-School Days enrollment is separate from school year enrollment, separate daily fees apply. Online enrollment opens for all Non-School Day sessions on the first day of the school year.
Approval and confirmation of pending requests takes place after that session's enrollment deadline. Enrolling early for Non-School Days almost always guarantees a spot.
Kindergarten
Children entering kindergarten will receive information regarding the upcoming school year program in a district mailing sent in late January. Kindergarten students with siblings enrolled in Kids Club should request enrollment for their incoming kindergarten child during the current family enrollment session in April.
Non-participants
Families who are not currently enrolled in the school year program can submit an online enrollment request when the session is opened to the public. This date will be posted on our website annually.
Non-district, Non-residents
Families who are not enrolled in South Washington County Schools or who do not live within the school district boundaries may enroll in Kids Club if space is available. Priority is provided to students enrolled in the district first. We do not provide transportation. Families must make arrangements for their child to be dropped off and picked-up from the program.

Participation in other activities or programs
Occasionally families enroll children in other programs during their regularly scheduled Kids Club contracted hours. During the school year, this may include: school patrol, choir, intramurals, enrichment classes, etc. During the summer, examples may be: summer school, camps & clinics or other district/non-district sponsored events.
Steps to release your child to another activity during Kids Club hours:
- Complete a release form at lease 24 hours in advance to the activity - forms are available at your site. For safety, no child will be released without a form.
- Child mucst check-in to Kids Club first
- Child will then be checked-out to the responsibility of the other program/activity at the appropriate time.
- When child returns they will be checked back into the the responsibility and care of Kids Club.
Additional Notes for Summer

Please review the Kids Club special events calendar.
- If your child will be leaving for or returning from a non-Kids Club activity while the Kids Club group is on a field trip, you will need to make alternate arrangements for care during the overlap of time.
- For safety purposes, children cannot join another group.
- Please communicate your plans with your Site Supervisor.
Kids Club Benefit
Being a ‘member’ has it benefits! Children who attend our program a minimum of three contracted days per week (a combination of AM, PM, half-day or full-day schedules, (Drop-In care excluded)) can receive a 50% credit on select Community Education classes.
Eligible classes must be held during Kids Club program hours and may include Youth Enrichment, Youth Athletics and Recreation, and Community Education tutoring programs.
Exceptions for this benefit include, but are not limited to: Community Education Aquatics program, Special Events as well as all evening and weekend events.
To receive the credit, please register for the class (you will need to make a full payment) and complete a Kids Club Benefit Voucher. Submit the voucher to our Bookkeeper (within the same Kids Club enrollment season) and the credit (maximum credit of $50 per class) will be applied to your Kids Club billing account once the class has begun.

Building security
Kids Club families will have access to the building via a pin pad that (in most cases) will be located at the main entrance, second set of doors. Each KC family will have their own unique code set to access the building from 6:30 a.m. until 6 p.m., during regular Kids Club program days and non-school days. Parents/Guardians and authorized pick-ups will need to remember and enter the code to enter the building. This code will work for each family only during Kids Club time. Only family members and additional authorized pick-ups should have access to the family's code number. To maintain a secure building please do not hold doors open for others; individuals with authorized access to the building will use their access code to enter. Your family code will be emailed to just one primary adult within the child's Kids Club account. This individual will be asked to share this code with additional parent/guardian and/or selected authorized pickup individuals.
Expect to receive access code information emailed to you the week prior to the start of the season (or week before your start date if starting mid-season).
Safety drills
Kids Club complies with all district and DHS safety requirements. Regular drills are held in the areas of fire, evacuation, severe weather, and lock downs. Your cooperation during drill times is appreciated.
Outdoor play temperatures
Kids Club follows the outdoor play guidelines of SoWashCo Schools. We will go outside on most days. Please be sure to dress your child appropriately. When the temperature and/or windchill is at 0 degrees or below, Kids Club will remain indoors. When the temperature is 100+ degrees outdoor activities will be limited or canceled.
Child abuse and neglect
Under Minnesota State Law, all professionals who work with children are required to report any and all suspected abuse or neglect of children to the authorities.
Professional development
A well-trained staff is one of our program priority goals identified by our families, schools and program. When Kids Club is closed the program is typically in transition between the school year and summer programs. During this transition time and typically on Presidents Day, staff will not only be preparing for programming but will also be participating in required professional development. It is also a state requirement for certified child care programs. Kids Club staff are trained regularly in health and safety practices, first aid and CPR, student needs, child development, social emotional learning practices and more.
